General informations

Which types of excursions are available?

Two types of excursions have been identified:

  • Private excursions: these are trips where the guide is booked exclusively by an individual or a pre-arranged group of people (family, group of friends, team building, etc). The number of participants in the excursion must respect the guide/client ratio specified in the specific activity sheet. If the number of participants exceeds the maximum limit, a second, trusted mountain guide will be involved. The activity can be carried out at any time, subject to the availability of the guide.
  • group excursions: these are calendar trips, i.e. trips offered at specific dates and times. Reservations can be made by different users and the guide will be shared with all participants. Bookings will remain open until such time as the maximum number of people indicated on the specific activity sheet has been reached.
What can I do if the activity I want to do is not among those published on the site?

There are many activities that can be done in the Dolomites and in the Alps, and it is obviously impossible to include them all in the website. That doesn’t mean they can’t be done!

Multiple experiences were proposed for each activity, from the most famous to the lesser known. However, the list is not exhaustive! If you have any special requests, please email info@giovanni-orlando.it

Why has a maximum number of participants been indicated for each experience?

The information sheet for each experience indicates the minimum and maximum number of participants (e.g. 1 to 6) for each experience. The maximum number of participants depends mainly on the type of activity, the technical difficulty and the environment in which it is carried out. The maximum number of participants will allow the mountain guide to manage the excursion in the best possible way, with particular regard to the safety of the participants.

Is it possible to book an excursion for a group of people exceeding the maximum number indicated in the activity sheet?

Yes, it is possible for private excursions. The maximum number of places available for a given experience is calculated on the basis of the presence of ONE guide.
It is also possible to arrange private excursions for larger groups than the maximum number. In this case, one or more trusted mountain guides will be used, always in accordance with the ratio of guide to maximum number of participants indicated in the activity information sheet. In this case, the price will be adjusted on the basis of the mountain guides involved and the size of the group.

Booking

How does the booking work?

The system offers two types of booking: request and booking.

With the request, a request is sent to the system for the availability to perform a specific activity on a specific day. This mode is reserved for activities with a high degree of difficulty, in order to allow for an initial contact between the person concerned and the mountain guide and to discuss the feasibility of the experience. It is also used for those more complex activities, which require the organisation of ancillary services (booking huts, transfers, etc.) and compliance with specific laws.

The booking process is used for all other activities and is based on the ability to book the chosen activity quickly and easily. Immediately bookable activities are those that have a calendar with available dates in the specific activity sheet.
All you have to do is follow the process from the booking calendar in each tab:

  • Select a day and, if available, a choice between a private tour and a group tour;
  • select the number of participants;
  • enter discount codes or gift vouchers (if available)
  • Include your full name, telephone number and email address, along with your credit card details.
  • read the booking confirmation e-mail.
  • Fill in the data processing form and the risk information that will automatically be sent to you by e-mail. Both forms must be completed for EACH participant in the experience.

Your booking is automatically confirmed, so all you need to do is turn up on the day of the experience at the time and place specified in the booking email and activity sheet. For any information, please contact info@giovanni-orlando.it.

Is the availability real?

If immediate booking is used, the booking system integrated into the website is based on the actual availability of the mountain guide. If an activity is bookable, it means that the mountain guide is free and the activity can be carried out.

For activities characterised by a high level of complexity or technical difficulty, the availability of the mountain guide must be requested (see ‘Request for information’). This allows the mountain guide to get in touch with the participant(s) before the activity is booked, so that the guide can ascertain the participant(s)’ abilities with respect to the requested experience in person. This makes it possible to maintain a high standard in the services provided, with particular regard to safety. What are the requirements for making a reservation?

Reservations can be made by any person who has reached the age of majority. Minors can also take part in the activity, within the limits indicated for each activity sheet. The presence of a parent or guardian is always required, unless the parent or guardian provides the guide with a signed release form prior to the start of the activity.
The following data are required when booking:

  • name
  • surname
  • e-mail address
  • telephone number

The data provided will only be processed by the Mountain Guide, in accordance with the site’s Privacy Policy. They are used to manage the booking, to inform you of any changes/cancellations to the experience and for administrative purposes. In the event that the number of participants exceeds the maximum number of participants envisaged for that hike, a second mountain guide will be involved, to whom the data strictly necessary for the ordinary organisational management of the hike (name, surname, telephone number, email address) may be passed on.

Do I always have to fill in the consent to the processing of personal data and the information on mountaineering risks?

The documents relating to the consent to data processing and information on the risks associated with mountaineering are attached to the booking confirmation email. They must always be completed and emailed back to the mountain guide BEFORE the start of the activity. Alternatively, a hard copy of the documentation can be handed in on the day of the excursion, before it starts.

It is compulsory to complete the information and consents for EACH member of the group for whom a reservation is made. In the case of minors, the forms must be completed and signed by a parent or guardian.

 

Organisation

Where will I meet my guide on the day of the excursion?

Each activity description sheet indicates the meeting point and time with the mountain guide. In the case of immediate booking, the place of appointment is also indicated in the confirmation e-mail.
In special cases and only in the case of booking private excursions, it is possible to change the meeting place and time. The mountain guide reserves the right to change the meeting place and time for proven needs (e.g. to bring the meeting forward to avoid the danger of thunderstorms in the afternoon).
You must arrive 15 minutes before the scheduled time on the day of the excursion.

How are transfers to and from the excursion site organised?

The meeting point with the mountain guide is usually the same as the starting point of the hike. Unless otherwise specified by the mountain guide, the use of one’s own means of transport is preferred when short journeys are necessary.
In the case of using the Mountain Guide’s vehicle, reimbursement of travel expenses may be requested, which will be divided among the participants.

What technical equipment should I bring?

The technical equipment required is listed below.

Mountaneering
Harness, classic ice axe or technical ice axes, crampons, high mountain boots, helmet, normal mountaineering equipment (NDA)*. Ropes and technical equipment (quickdraws, friends, nut, etc) are provided by the guide.

Ice clibing
Harness, technical ice axes, ice crampons, winter waterproof boots, gloves, helmet, normal mountaineering equipment (NDA)*. Ropes and technical equipment (quickdraws, friends, nut, etc) are provided by the guide.

Rock climbing
Harness, climbing shoes, helmet, normal mountaineering equipment (NDA)*. Ropes and technical equipment (quickdraws, friends, nut, etc) are provided by the guide.

Via ferratas
Harness, approved via ferrata kit, hiking boots or shoes, helmet.

Trekking and hiking
Hiking shoes.

Ski mountaneering
Skis, ski touring boots and poles, seal skins, rampant, aluminium shovel (NO PLASTICS), probe and avalanche transeiver. ABS and/or airbag backpack and helmet recommended. For some mountaineering tours: helmet, crampons, harness, ice axe, normal mountaineering equipment (NDA). Ropes and technical equipment (quickdraws, friends, nut, etc) are provided by the guide.

In order to guarantee a high standard of safety in activities outside the controlled areas of the mountains and, specifically, full compatibility between the participants’ avalanche transceivers and the effectiveness of digging operations, it is MANDATORY that participants be in possession of a DIGITAL AVALA with AT LEAST TWO ANTENNAS. In the event that they do not have them, or if they are in possession of analogue Artva or digital Artva with a single antenna, or if they are in possession of shovels with a non-metal spoon, the Mountain Guide will provide the missing self-rescue equipment (Artva, shovel and probe) at a flat rate of 15€/day.

Off-piste skiing

On-piste ski tour
Ski, ski boots and poles. Ski helmet recommended, compulsory under 14 years.

Snow shoeing
Snowshoes, waterproof boots and poles.

* Normal mountaineering equipment (NDA) means: 2 HMS-type locking carabiners, 1 small locking carabiner, 1 double-turn Kevlar lanyard (120cm long), 1 single-turn Kevlar lanyard (60cm long), descender (Reverso, ATC Guide, etc.), daisy chain

For all hikes, it is recommended to wear technical mountain clothing, specific to the type of activity, and always carry a change of clothes, sun cream and sunglasses, a small first aid kit, drinks and some energy snacks in your rucksack.

Each itinerary, however, indicates the minimum equipment required to carry out the walk, as well as the equipment that the guide can provide if you do not have it. For any other missing equipment, please contact the mountain guide directly who will try to obtain it.

Changes and cancellations

Changes and cancellations before the start of the excursion

The possibility of physically performing the activity is a function of certain environmental parameters and specific situations.
A few days before carrying out the chosen activity, it will be the responsibility of the Mountain Guide to check that these parameters and situations are met (e.g. weather conditions sufficiently safe to carry out the specific activity, opening of ski lifts where required, practicability of paths and via ferratas, etc.)..
If the activity cannot be carried out, it will be the responsibility of the mountain guide to inform the participants in good time. The mountain guide reserves the right to make changes or cancellations to the original programme in order to fulfil the booking previously made. The mountain guide reserves the right to do so:

  • partially modify the activity (meeting time, route followed, etc.)
  • propose an alternative activity

If the activity is completely cancelled, it will be rescheduled in agreement with the mountain guide for a later date. If this is not possible, a voucher of equal value to the payment already made for another activity will be issued.

Changes, cancellations or interruptions during the excursion

Due to the objective and/or subjective conditions and situations that may arise from time to time, the mountain guide cannot give any guarantee that the planned activity will be carried out in full (e.g. reaching the summit in mountaineering activities). In addition, the mountain guide, without his actions being open to criticism, will have the right to interrupt, cancel or change part or all of the programme at any time in order to guarantee minimum safety conditions at all times.

The reasons for cancellation, interruption and modification may be related:

  • to a change in climatic conditions, even an abrupt one;
  • the environmental conditions of the terrain (e.g. snow, ice, etc.);
  • force majeure, such as the interruption of lift services;
  • to the injury of participants;
  • the participants’ lack of preparation for the activity;
  • unsuitable behaviour of participants and failure to follow the instructions given by the mountain guide;
  • the breakage of equipment during the excursion, the lack/inadequacy of the technical equipment needed to carry out the activity, …

In the event of cancellation for reasons beyond the participants’ control, the excursion will be rescheduled in agreement with the mountain guide for a later date. If this is not possible, a voucher of equal value to the payment already made for another activity will be issued. In the event that even this solution cannot be implemented, a full refund of the sum paid will be made. In the event of changes or interruptions to the excursion, no reimbursement will be made.

In the event of cancellation, modification or interruption of the activity for reasons attributable to the participants, no reimbursement will be made.

Booking cancellation terms

The customer may at any time cancel an already booked activity. Cancellation deadlines define the amount of reimbursement to which one is entitled in relation to the notice given. Cancellation periods vary for each activity, depending on the type of activity, its characteristics and how far in advance it was booked.
Three different cancellation terms were identified, depending on the type, difficulty and organisational difficulty of each activity:

  • flexible cancellation terms;
  • moderate cancellation terms;
  • strict cancellation terms.
Flexible cancellation terms
  • full refund for cancellations up to 4 days before the day of the excursion
  • 70% refund for cancellations between 4 and 1 days before the day of the excursion
  • no refund for cancellations within 24 hours prior to the day of the excursion
  • no refund for cancellations and/or no-show on the day of the excursion
Moderate cancellation terms
  • full refund for cancellations up to 7 days before the day of the excursion
  • 50% refund for cancellations between 7 and 2 days before the day of the excursion
  • no refund for cancellations within 48 hours prior to the day of the excursion
  • no refund for cancellations and/or no-show on the day of the excursion
Strict cancellation terms.
  • full refund for cancellations up to 10 days before the day of the excursion
  • 50% refund for cancellations between 10 and 5 days before the day of the excursion
  • no refund for cancellations within 5 days prior to the day of the excursion
  • no refund for cancellations and/or no-show on the day of the excursion

The cancellation deadlines for each activity are indicated on each card. The time limit for cancellation is set from 00.00 hours on the day of the excursion.

It is specified that the cancellation terms refer only to the services provided by the Mountain Guide. In the case of any extra services (overnight stay in a refuge, transfer), the relevant cancellation terms apply.
